Pre-book Appointments

Many clients like to book their next appointment before leaving, especially in very busy salons or during holiday periods to insure they’ll get the date and time they want. If you use automated confirmation emails, the client will receive a confirmation email a few days before the appointment with an easy reply button to just click and confirm.
Pre-book an Appointment in the Sales Ticket
 
1.     Tickets screen
2.     Click the client’s name in the Open Tickets column to bring up the sales ticket.
3.     Click Prebook



 
Schedule the SAME SERVICE for a future date…
1.     On the “Now Scheduling” screen, the client’s name and services performed today will be shown at the upper left.
2.     If the client has questions such as “how long do I usually go between color treatments,” you can click Client Log to view the client’s history and/or any other future appointments.
 3.     If the client wants to book the same service(s), with the same service provider(s), for a future date (with no added services), click Search Calendar.
a.     If the client wants to book an additional service for the same date, click Add Service and enter the service and employee before bringing up the calendar.
b.     If the additional service is for a different date, you must add it as a separate pre-booking after the first one is confirmed and you return to the sales ticket.
4.     On the Select Time Range bar above the calendar, move the squares at either end toward the center of the bar with your cursor until you have a time range acceptable to the client. (Skip this step if the client is willing to accept any time.)
5.     Click the desired date on the calendar.
6.     You will be shown the available times on that day, for that service provider. If more than one service and service provider is being booked, you will be shown best combinations of the services to maximize client convenience as well as salon productivity.
a.     There may be more than one page of available times. Use the page numbers at the bottom to navigate between them.
b.     There may be no available times. You may have to adjust time, date or employee expectations to find something that works for this client.
7.     Click Book Appt. next to the time acceptable to the client.
8.     The screen will refresh to show your schedule for that day with the new appointment(s) booked in. Click Confirm at the bottom right.
9.     The screen will go back to the sales ticket. If you need to add another pre-booked service for a future day different than the first one, do it now by clicking “Pre-book Services” and repeating the process.
10.  Close out the ticket as usual.

Schedule a DIFFERENT SERVICE for a future date…
1.     On the Now Scheduling screen, the client’s name and services performed today will be shown at the upper left.
2.     Under Select Services, remove today’s services by clicking the black X icon.
3.     Click Add Another Service.
4.     Select the Service and the Employee service provider from the drop-down boxes.
5.     Add any additional services to be performed on the same day. If the additional service is for a different date, you must add it as a separate pre-booking after the first one is confirmed and you return to the sales ticket.
6.     On the Select Time Range bar above the calendar, move the squares at either end toward the center of the bar with your cursor until you have a time range acceptable to the client. (Skip this step if the client is willing to accept any time.)
7.     Click the desired date on the calendar.
8.     You will be shown the available times on that day, for that service provider. If more than one service and service provider is being booked, you will be shown best combinations of the services to maximize convenience and productivity.

9.     Click Book Appt. next to the time acceptable to the client.

11.  The screen will go back to the sales ticket. If you need to add another pre-booked service for a future day different than the first one, do it now by clicking “Pre-book Services” and repeating the process.
11.  Close out the ticket as usual.
